Conference minutes, December 13, 2005- Video Conference Call



Persons in Attendance:

Opening, Welcome and Agenda Review:

David Holmes, Chairperson, opened the video conference meeting and welcomed everyone in attendance. The agenda for the meeting was reviewed.

Topics of Discussion:

Revision of NC-SOCRC Operations Manual: David Holmes reported that the Executive Committee had recently made some revisions in the Operations Manual to include clarification as to the process in utilizing the treasury and for what purposes the treasury may be used as discussed in the last NC-SOCRC Meeting. Dr. Dew will send all Directors a revised Operations Manual.

Status of RSA Funding for 2006 NC-SOCRC Conference: Dr. Donald Dew reported that he has confirmed that we have the RSA funding committed to the 2006 conference. Each center will be designated an amount of the training funds to sponsor staff in attending the 2006 conference. The number of staff attending the conference will be determined by the Center Director.

Conference Planner/Facilitator Update: Dr. Dew reported that he has not worked out the details in identifying a conference planner/facilitator. He stated he does have some people in mind and will be working on securing someone in the immediate future. It was previously determined by the Consortium members that a conference planner/facilitator should be secured from the Washington D.C. area for convenience and cost effectiveness.

Survey Feedback Instrument for Obtaining Additional Information from Member Centers as to Conference Topics: A general discussion was held as to a needed survey instrument to be developed and sent to each center Director to obtain input from key center staff members as to important topics of interest to focus conference planning activities. It was determined that the two training needs assessments completed from the 2004 National Conference would be reviewed and incorporated into a current survey instrument to obtain input from center staff. Dick Luck reported he has designated an individual at WWRC to develop the survey instrument and that will be forthcoming to all NC-SOCRC Directors.

A deadline date to obtain input from staff from each center will be identified. Each Center Director will be responsible for meeting with key staff at their center, obtain input and send completed survey results back to WWRC for analysis and summarization of results.

The results of this training needs assessment will become the discussion material at the next NC-SOCRC meeting for national conference planning activities.

Date of Next NC-SOCRC Meeting:

It was determined that there will need to be ample time to gather needs assessment data prior to the next meeting; therefore, the consortium will not meet in January of 2006. It was determined by consortium members that late March would be preferable and the dates March 22, 23, and 24 and March 29, 30, and 31 were identified as possible dates.

David Holmes stated upon return from the Christmas Holidays, he would generate a memorandum to all Directors to finalize the dates for the March 2006 meeting. Upon finalizing the March date, an agenda will be developed and sent to all Directors with a follow-up video conference call meeting scheduled for early March to finalize the agenda and travel plans.
